Overview Our client is seeking an experienced Administrator to provide operational and administrative support to the Head of Business Services, with a focus on property management activities. The role will also support the Procurement Manager and Accounts function, particularly during the financial year-end period.
This position requires a highly organised individual with strong attention to detail, capable of working across multiple functions in a busy environment.

Key Responsibilities Property Management Support

  • Support the Head of Business Services and Property Manager on property-related projects and activities
  • Assist in the administration of legal agreements relating to the use of university space
  • Review and update internal processes and procedures to support efficiency and compliance

Procurement & Financial Administration

  • Provide support to the Procurement Manager and Accounts team, particularly during year-end
  • Process purchase orders and manage supplier transactions in line with procurement policies
  • Maintain accurate financial and procurement records
  • Assist with ensuring all financial documentation is processed in a timely and professional manner

Building Services Support

  • Assist with processing purchase order requisitions, ensuring accuracy and compliance
  • Provide administrative support for the asset management system (e.g. FlexManager)
  • Support asset tracking, maintenance scheduling, and reporting
  • Carry out additional duties as required by the Building Services team

General Duties

  • Maintain and update the Buildings & Estates asset management database (e.g. PEMAC)
  • Provide support to the Customer Services Desk, responding to queries efficiently
  • Undertake additional duties as required by management

Essential Requirements

  • Experience in property management, including legal agreements for use of space
  • Experience in accounts or financial administration
  • Strong IT skills, including proficiency in Microsoft Office
  • Minimum 2 years’ experience in a high-level administrative role within a busy office environment

  • Strong communication and interpersonal skills with a customer-focused approach
  • Knowledge of Buildings & Estates operations
