Are you an experienced Project Manager looking for a temporary assignment in Galway?
Project managing office fit out projects for the Building & Estates office which involves regular site visits
Planning and developing strategy, including defining goals, budget, timeline and resources for each project.
Completing PEMAC requests from building liaison officers for signage, blinds, flooring and furniture to approximately 100 locations
Procurement of goods and services for office fit outs
Liaising with design teams, consultants, contractors, end users and Buildings & Estates Office staff in relation to office fit outs.
Holding site meetings with team members, collating briefs per project, coordinating, documenting and assigning tasks for the project team and providing the team with direction and support.
Ensuring projects are running to agreed timelines and that the quality of the works and good delivered are as per service level agreements.
Monitoring problems, providing solutions, and implementing changes as necessary to ensure the project timeline is followed.
Regularly report on progress of each project to relevant stakeholders and to line manager.
Providing assistance and support to the Business Support Manager in the preparation of reports, updating of section plans, problem solving, project planning and development, and execution of stated goals and objectives.
Working closely with the Buildings & Estates procurement manager when preparing tender documentation and specifications for contracts.
Carrying out site visits as required to ensure contract compliance in relation to Health & Safety and to ensure quality of works is acceptable and taking action where required.
Liaising with the Buildings & Estates Procurement Manager and the financial Assistant CoOrdinator to ensure that records are kept up to date for audit purposes. Providing support on an average of three audits per year.
Sourcing external contractors and suppliers for office fit-outs and overseeing their setup on the accounts system.
Procuring specialised furniture for staff as recommended by the Occupational health physician.
Signage –coordinate requirements for signage and liaise with staff and external signage providers
Accounts - assist with administrative work such as writing requisitions and provision of budget information
Vehicle fleet management services: motor taxation
Provision of administrative support in relation to property services, e.g. rent & rates, leases & legal agreement
Any other miscellaneous duties relevant to the provision of Business Support Services
