We are seeking an experienced and proactive Personal Assistant to support our clients Regional Director overseeing social care services across the West of Ireland. This is a 9 month maternity leave contract, full-time position based in the Sligo office. The successful candidate will provide high-level administrative and project support, ensuring the smooth operation of day-to-day activities.
Key Responsibilities:
- Manage the Regional Director’s diary, prioritising tasks and scheduling/rescheduling meetings as required.
- Organise and coordinate internal and external meetings, including preparing agendas, distributing documentation, and managing follow-ups.
- Provide comprehensive email and correspondence support; respond on behalf of the Director where appropriate.
- Act as the primary point of contact for internal and external stakeholders.
- Draft and format documents, presentations, and reports; proofread and ensure timely submission.
- Assist with project coordination, tracking progress and timelines to ensure deliverables are met.
- Maintain accurate and up-to-date records and filing systems, ensuring compliance with data protection policies.
- Support travel arrangements and logistics where necessary.
- Scan and manage paperwork, ensuring documentation is accessible and well-organised.
- Collaborate with the Executive Office team and provide cover or support when needed.
Key Requirements:
- Minimum of 2 years’ experience in a similar administrative role (or 3 years without formal qualifications).
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Demonstrated experience managing senior-level diaries and schedules.
- Excellent communication and organisational skills.
- Strong attention to detail and ability to manage multiple priorities.
- Discretion and professionalism in handling confidential information.
- Ability to work independently with minimal supervision.
- ECDL or equivalent IT qualification.
- Experience supporting middle to senior management.
- Experience with formal correspondence and minute-taking.
