1. Process all incoming phone calls within 3 rings and efficiently connecting them to the required departments without undue delay, informing the person who is on line. If for any reason there is undue delay, caller must be kept informed.

2. Promptly assist and make all requested phone calls and bookings on behalf of the Managing Director.

3. Greet all visitors into the company and as per procedure contacting the necessary department to deal with the visitors. Make sure their name is put on screen in reception when requested.

4. Open and date stamp all incoming mail as soon as the post arrives, slotting it into each department’s tray provided.

5. Responsible for ordering, checking in of all stationery requirements, passing of invoices correctly, and coding to the different departments, keeping log of all expenditure and processing monthly reports.

6. Responsible for ordering all canteen supplies and passing of Invoices and coding them to the different Departments

7. Prepare and log documents for sending via courier

8. Log all Registered post and courier deliveries that come into reception and notify by email recipients of same

9. Updating internal phone list and laminate copies for all the meeting rooms’ boardrooms and Managers. (Every Month)

10. Reception phone report done every month of incoming calls. Details forwarded to HR

11. Forward any incoming reports (whether it is through post, e-mail or in Person) regarding Pharmacovigilance/Adverse Action Report to the Relevant QPPV in a timely manner.

12. Order the business cards and Letter headed paper for the Company
Get them approved and coded and set up PO and code them to the different departments.
